Divisions

Required Permission
Company Setup - You must have the Company Setup permission to access this setting.

Classify leads and projects by division with estimating defaults and accounting integration.

Overview

Divisions are critical to an organization to ensure proper operational and financial reporting. Each division can have its own markup percentages for estimating, accounting GL codes, and yearly margin goals.

When a project is created, a Division must be chosen for that project on the Project Request Form.

Customizable Label

The "Divisions" label can be customized via Settings > Form Fields > Projects. Your company may use a different term like "Opportunity Types" or "Business Units".

Accessing This Setting

  1. Go to Settings > My Company > Divisions

Division List

The divisions list displays all your configured divisions with the following columns:

Sorting Divisions

Divisions can be reordered by dragging and dropping rows. The sort order determines how divisions appear in dropdown menus throughout the system.

Showing Disabled Divisions

Toggle Show Disabled Divisions to view and restore previously disabled divisions.

Adding a Division

  1. Click Add Division
  2. Complete the division settings (see below)
  3. Click Add Division to save

Viewing or Editing a Division

  1. Click on the division name in the list
  2. Make your changes in the dialog
  3. Click Save

Classification

Classification fields help categorize your divisions for better organization, reporting, and analysis. These fields allow you to group similar types of work regardless of the division name.

Function Types

How Function is Used:

  • Reporting - Separate internal projects from customer revenue when analyzing sales performance
  • Dashboard Metrics - Exclude internal projects from sales goals and forecasts
  • Financial Analysis - Distinguish billable vs. non-billable work in profitability reports

How Work Type is Used:

  • Filtering - Filter boards and lists to show only certain types of work
  • Reporting - Analyze performance by type of work (e.g., "How much service work vs full projects?")
  • Capacity Planning - Understand your mix of project types for resource allocation
  • Trend Analysis - Track how your work type distribution changes over time
Best Practice

Even if you don't immediately need these classifications, setting them up now allows you to take advantage of future reporting and filtering features as they become available.

Estimating Defaults

These values are used as defaults when creating estimates for projects in this division.

Accounting Integration

GL CodeNoUsed for accounting integration to categorize revenue/billing for different project types (e.g., "New Construction", "Remodel", "Service Work"). Maps project revenue to specific general ledger accounts.
Mileage GL CodeNoSeparate GL code specifically for mileage expenses associated with a project type. Used when exporting time entries to prioritize project-specific mileage categorization over employee-level defaults.

Managing Margin Goals

Each division can have yearly margin goals for performance tracking.

  1. Click the $ (dollar) icon next to a division
  2. Enter margin goals for each year (past years through future years are shown)
  3. Click Save

Margin goals are used in dashboard reporting to compare actual margins against targets.

Disabling a Division

To disable a division from being used on future projects:

  1. Click on the division name in the list
  2. Click Disable in the dialog
  3. Confirm the action

Disabled divisions:

  • No longer appear in dropdown menus for new projects
  • Remain associated with existing projects
  • Can be restored at any time

Restoring a Disabled Division

  1. Toggle Show Disabled Divisions at the top of the page
  2. Locate the disabled division (shown with reduced opacity)
  3. Click the Restore icon

  • Estimates - Default markup values
  • Sales Pipeline - Filter and analyze by division
  • Dashboard Widgets - Filter metrics by division
  • Boards - Filter columns by division
  • Reports - Performance analysis by division
  • QuickBooks Integration - Map revenue to GL codes
