Mobile Time Entry

Track time from any mobile device using the responsive web interface. Field crews can clock in/out, enter time, and capture location data directly from job sites.

Accessing on Mobile

Browser Access

  1. Open your mobile browser (Safari, Chrome, etc.)
  2. Navigate to your company's system URL
  3. Log in with your credentials
  4. Navigate to Time Tracking
Add to Home Screen

For quick access, add the site to your home screen:

  • iOS: Tap Share → Add to Home Screen
  • Android: Tap Menu → Add to Home Screen

Mobile-Optimized Interface

The time tracking interface automatically adapts for mobile:

  • Large touch-friendly buttons
  • Card-based layout for easy scanning
  • Simplified navigation
  • Touch-optimized date/time pickers

Clock In/Out on Mobile

Clocking In

  1. Tap Clock In button
  2. Select your Project from the list
  3. Select your Work Category
  4. Optionally add a note
  5. Tap Clock In

The interface confirms your clock-in with:

  • Start time
  • Project name
  • Active timer display

While Clocked In

Your screen shows:

  • Current project and category
  • Elapsed time counter
  • Clock Out button

Clocking Out

  1. Tap Clock Out
  2. Review the time summary
  3. Add ending notes if needed
  4. Enter mileage (if applicable)
  5. Tap Confirm Clock Out

Location Capture

How It Works

When enabled, the system captures GPS coordinates:

  1. At Clock In - Records your starting location
  2. At Clock Out - Records your ending location

This helps verify job site presence and can be used for:

  • Confirming work location
  • Route verification
  • Project location records

Enabling Location

Your browser will request location permission:

  1. When the prompt appears, tap Allow
  2. Location is captured only at clock-in and clock-out moments
  3. You are not tracked continuously

If Location Is Blocked

To enable location after initially blocking:

iOS Safari:

  1. Go to Settings > Safari > Location
  2. Set to "Allow" or "Ask"
  3. Return to the app and refresh

Android Chrome:

  1. Tap the lock icon in address bar
  2. Tap Site Settings
  3. Enable Location
  4. Refresh the page
Location Privacy
  • Location is only captured at specific moments, not continuously
  • Only managers can view location data
  • Location is optional (time tracking works without it)

Viewing Your Timesheet

The mobile timesheet displays as cards:

Adding Time Entries

  1. Tap the + button
  2. Fill out the time entry form:
    • Select project
    • Select category
    • Choose date
    • Enter hours or start/end times
    • Add notes
  3. Tap Save

Editing Entries

  1. Find the entry in the card list
  2. Tap Edit or tap the card
  3. Modify the details
  4. Tap Save

Offline Capabilities

Working Without Internet

The clock-in feature supports limited offline use:

What Works Offline:

  • Starting a clock-in (stored locally)
  • Viewing previously loaded data

What Requires Internet:

  • Clocking out
  • Submitting timesheets
  • Loading new data

Sync Behavior

When you reconnect:

  1. Pending data syncs automatically
  2. Sync status indicator shows progress
  3. Confirmation appears when complete

Offline Indicators

Look for these status indicators:

Mobile Best Practices

Before Heading to Job Site

  • Ensure phone is charged
  • Test that you can access the system
  • Enable location services if required

At the Job Site

  • Clock in immediately upon arrival
  • Verify the correct project is selected
  • Note any issues in the comments field

End of Day

  • Clock out before leaving
  • Review your entries for accuracy
  • Check sync status before leaving Wi-Fi areas

Connectivity Tips

  • Clock in while you have signal
  • If signal is weak, move to a better spot before clocking in/out
  • Use Wi-Fi when available for faster sync

Troubleshooting

Can't Clock In

Check these common issues:

  1. Not logged in - Sign in again
  2. No projects available - Contact admin about project access
  3. Location blocked - Enable location in browser settings
  4. No internet - Find connectivity first

Clock Out Failed

If clock out doesn't work:

  1. Check internet connection
  2. Try again once connected
  3. If still failing, note your end time
  4. Use timesheet to add time manually later
  5. Contact support if issues persist

Time Entry Won't Save

Verify:

  • All required fields are filled
  • Internet connection is active
  • You have permission to add time
  • The timesheet isn't locked

Location Not Captured

  1. Check browser location permissions
  2. Verify GPS is enabled on device
  3. Try refreshing the page
  4. Move outdoors for better GPS signal

App Running Slowly

  • Close other browser tabs
  • Clear browser cache
  • Restart the browser
  • Check for sufficient storage space

Tips for Field Crews

Quick Entry Workflow

  1. Bookmark the time tracking page
  2. Add to home screen for one-tap access
  3. Stay logged in (if device is secure)
  4. Use "Remember my last project" if available

Handling Multiple Job Sites

When moving between sites:

  1. Clock out of current job site
  2. Travel to new site
  3. Clock in at new site with new project

This ensures accurate per-project time tracking.

Weather and Outdoor Use

  • Use a screen protector for rain/dust
  • Keep phone in pocket/case when not in use
  • Consider stylus for cold weather gloves
  • Ensure phone stays warm enough to function

Battery Conservation

  • Lower screen brightness
  • Close unused apps
  • Enable battery saver mode
  • Carry a portable charger for long days
