Filtering and Sorting

Focus your board view using filters and organize projects within columns using sorting options.

Types of Filters

Project Boards support two types of filters:

Temporary Filters

Apply filters to focus on specific projects during your session.

Applying Filters

  1. Click the Filter button in the toolbar
  2. Select filter criteria from the available options
  3. Choose one or more values for each filter
  4. Click Apply to update the board

Team Member Filters

Team member filters let you focus the board on projects assigned to specific people. Filters are organized into collapsible groups that match your company's team structure:

  1. Click the Filter button in the toolbar
  2. Scroll to the team group sections below Division, Source, and Campaign
  3. Click a group name to expand or collapse it (Sales Team is expanded by default)
  4. Select one or more team members within any role to filter the board

The available roles within each group reflect the user-type fields configured in Settings. If your administrator adds a new team member role (e.g., "Production Coordinator"), it automatically appears in the appropriate group on the filter menu.

Multi-Value Selection

Most filters allow selecting multiple values:

  • Select Division: Kitchen and Division: Bath to see both
  • Projects matching any selected value will appear
  • The more values you select, the more projects you'll see

Active Filter Chips

Applied filters appear as chips below the toolbar:

  • Click the on a chip to remove that filter
  • Click Clear All to remove all temporary filters

Filter Persistence

Temporary filters persist for your current session:

  • Filters remain when switching between boards
  • Filters are cleared when you close your browser
  • Each user has their own filter settings

Global Filters

Administrators can set permanent filters on a board that apply to all users.

How Global Filters Work

  • Set in the board configuration by administrators
  • Always applied to the board view
  • Cannot be removed by regular users
  • Stack with any temporary filters you apply

Viewing Global Filters

If global filters are active, an info icon appears in the toolbar:

  1. Click the filter info icon
  2. A panel shows all applied global filters
  3. These filters are read-only

Global filters are useful for creating boards that show only specific data, such as a "Kitchen Projects" board that only displays kitchen division projects.

Use the search box for quick lookups:

Search Behavior

  • Type at least 2 characters to begin searching
  • Results update after a brief delay (300ms)
  • Search is case-insensitive

Searchable Fields

The search looks across:

  • Project name
  • Project ID
  • Client (contact) name

Search Tips

  • Search "Smith" to find projects for clients named Smith
  • Search by project number for exact matches
  • Combine search with filters for precise results
  • Click the in the search box
  • Press Esc key
  • Delete all text from the search field

Column Sorting

Organize how projects appear within each column.

Accessing Sort Options

  1. Click the sort icon in a column header
  2. Select a sort field from the dropdown
  3. Toggle ascending/descending order

Sort Options by Object Type

Project Boards:

Sort Direction

Click the sort option again to toggle between:

  • Ascending (A-Z, oldest first, lowest first)
  • Descending (Z-A, newest first, highest first)

Sort Persistence

  • Sort settings are saved per board and per column
  • Your preferences persist across sessions
  • Each column can have different sort settings

Manual Sorting

When set to Manual sort mode, you control the exact order:

How Manual Sort Works

  1. Set column sort to Manual
  2. Drag cards up or down within the column
  3. Drop at the desired position
  4. Order is saved automatically

When to Use Manual Sort

  • Prioritizing urgent projects
  • Grouping related projects together
  • Custom ordering based on your workflow
caution

If you switch from Manual to another sort option, your manual ordering is overridden by the new sort. Switch back to Manual to restore custom ordering.

Filter + Sort Combinations

Filters and sorting work together:

  1. Filters reduce which projects appear
  2. Sorting arranges the visible projects

Example Workflow

  1. Filter to show only Division: Kitchen
  2. Sort by Predicted Close Date descending
  3. View shows only kitchen projects, newest opportunities first

Column Drop-Off Display

Any column can be configured to show projects only temporarily based on when they entered that stage. After the configured period, projects no longer appear on the board.

How Drop-Off Works

  • The drop-off period is configured per board column (see Board Configuration)
  • Each column tracks when projects entered that stage—whether moved from the board, project page, or anywhere else
  • Projects drop off based on when they entered that specific stage, not when they were created
  • Different boards can have different drop-off settings for the same stage

Drop-Off Indicators

Look for an info icon on column headers. Hover to see:

  • Whether drop-off is enabled
  • The configured drop-off period (e.g., "End of Month", "30 Days")

Drop-off only affects board display. Projects are not deleted—they can still be found through search, reports, and project lists.

Troubleshooting

No Results Showing

  • Check if filters are too restrictive
  • Review global filters (info icon)
  • Clear search term
  • Verify the board is configured with visible columns

Wrong Projects Appearing

  • Check global filters set by admin
  • Review your temporary filters
  • Confirm you're on the correct board

Sort Not Working

  • Manual reordering only works in Manual sort mode
  • Check if a different sort is applied
  • Refresh the page if changes don't appear
