Team Management

Every project can have team members assigned to specific roles. This helps track who is responsible for each aspect of the project and ensures the right people are included in communications and workflows.

Accessing Team Management

To manage team assignments:

  1. Open the project
  2. Click on the team member avatars in the project header
  3. The Team Management dialog opens

Assigning Team Members

In the Team Management dialog:

  1. Find the role you want to assign
  2. Click the dropdown or search field
  3. Select the team member
  4. Changes save automatically

Each role can have one team member assigned to it.

Built-in Team Roles

ReadyBuild includes standard roles commonly used in construction and remodeling:

Custom Team Roles

Your administrator can create custom team roles to match your company's specific workflow. Custom roles can be:

  • Named to match your job titles and organizational structure
  • Configured to allow single or multiple assignments
  • Set up to allow vendor/subcontractor assignments

To request a new custom role, contact your system administrator.

Role User Restrictions

The list of users available for selection in a role can be restricted so that only qualified team members appear. This requires two configuration steps working together:

How It Works

  1. Form Field Configuration - Your administrator configures a role field to filter by a specific role in Company Settings → Form Fields under the Project section.

  2. Team Member Role Assignment - Each team member must be assigned to that same role in their profile (Company Settings → Team Members).

When both are configured, only team members assigned to the matching role will appear in the dropdown.

Example

To restrict the "Project Manager" field to only show project managers:

  1. Administrator sets the "Project Manager" form field to filter by the "Project Manager" role
  2. Each user who should appear as a project manager option must have "Project Manager" assigned in their team member profile

A user assigned only to the "Designer" role won't appear in the Project Manager dropdown.

Troubleshooting Missing Users

If you don't see a team member you expected in a role dropdown:

  1. Check the form field - Is it configured to filter by a role? (Company Settings → Form Fields → Project)
  2. Check the team member - Is the user assigned to that role in their profile? (Company Settings → Team Members)
  3. Verify active status - Inactive users don't appear in role dropdowns

Contact your administrator if you need a user added to a role.

Subcontractor Assignments

In addition to internal team members, you can assign vendor contacts (subcontractors) to team roles. This is useful for:

  • Trade tracking - Recording which subcontractor is responsible for specific trades (electrical, plumbing, HVAC, etc.)
  • Documentation - Maintaining a complete record of everyone working on the project

Assigning a Subcontractor

  1. Click on the team member section in the project header
  2. Select a role that allows vendor assignment
  3. Search for the vendor contact by name or company
  4. Select the subcontractor to assign them to the project

Only vendor contacts with the Subcontractor classification will appear as options. If a vendor doesn't appear, check that their Vendor Classification is set to "Subcontractor" in their contact record.

Not all roles allow subcontractor assignments. This is configured by your administrator when setting up custom roles.

Team Notifications

Team members assigned to a project may receive notifications based on:

  • Their role assignments
  • Company notification settings
  • Personal notification preferences

Common notifications include:

  • Project status changes
  • New activities or appointments
  • Document uploads
  • Stage transitions

Best Practices

  1. Assign early - Set up team assignments when the project is created to ensure proper notifications from the start
  2. Keep current - Update assignments when responsibilities change
  3. Use appropriate roles - Assign the most specific role that matches the person's responsibility
  4. Include subs - Add subcontractors to roles for complete project records
  5. Review regularly - Check team assignments during project reviews
