Contact Details

Understanding the contact record and all its sections.

Contact Record Overview

The contact detail page displays comprehensive information about a contact, organized into a header section with key details and multiple tabs for different aspects of the contact relationship.

The contact header shows at-a-glance information:

Contact Name and Type

  • Display Name - Full name or company name
  • Type Label - Lead, Client, or Vendor
  • Status Chip - Active or Inactive status

Status Indicators

Various chips and badges indicate contact status:

DisqualifiedRed chip for disqualified leads (hover to see reason)
TagsColor-coded custom tags applied to the contact
Vendor ClassificationFor vendors: Supplier, Subcontractor, etc.

Vendor TypesBlue chips showing vendor trade categories

Address Display

  • Mailing Address - Primary contact address (linked to house record)
  • Billing Address - Separate billing address (vendors only)
  • Click the address to change or update it

Phone Numbers

All phone numbers display with:

  • Phone type label (Mobile, Home, Work, etc.)
  • Owner name for household contacts (e.g., "John's Mobile")
  • Click-to-call links
  • Star icon (⭐) next to preferred contact number
  • Red text if contact is marked "Do Not Call"

Email Addresses

  • Primary and partner email addresses
  • Click-to-email links
  • Star icon (⭐) if email is preferred contact method

Header Actions

Edit Button

Click the pencil icon to open the contact edit dialog.

More Menu (⋮)

Access additional actions:

Download vCardSave contact to your phone (separate options for primary and partner)
Disqualify/Qualify LeadMark lead as disqualified with reason, or re-qualify
Set Active/InactiveToggle contact's active status
Delete ContactPermanently remove (requires permission, contacts with projects cannot be deleted)

Add Tag Button

Click the green + button to assign tags to the contact.

Tabs

The available tabs vary based on contact type:

All Contact Types

General Info Tab

Displays all custom fields and system fields configured for the contact, including:

  • Marketing attribution (source, campaign)
  • Referral information
  • Sales representative assignment
  • Any custom fields your admin has configured

Projects Tab

Lists all projects associated with this contact:

  • Project name and status
  • Sale stage
  • Project value
  • Quick navigation to project details

Additional Contacts Tab

Manage related contacts:

  • For companies: employee contacts
  • For households: family members
  • For any contact: related business contacts

Activities Tab

Complete activity history:

  • Scheduled and completed activities
  • Phone calls, meetings, appointments
  • Add new activities directly from this tab
  • Filter by activity type or date

Notes Tab

Internal notes about the contact:

  • Add timestamped notes
  • View full note history
  • Notes are internal only (not visible to the contact)

Audit Tab

Track all changes made to the contact:

  • Who made changes
  • When changes were made
  • What was changed

Client/Lead Only Tabs

Concerns Tab

Track and manage customer concerns:

  • Add concern records
  • Mark concerns as resolved
  • Open concerns display as a yellow banner on the contact and project pages
  • Resolved concerns display as a green banner that persists permanently on both pages

Resolving a concern:

When you mark a concern as resolved, a Show resolved banner on Contact/Project pages toggle appears. It is checked by default. Leave it checked to keep the green resolved banner visible indefinitely so future staff know this client had a prior concern. Uncheck it if the resolved banner is not needed.

Referrals Tab

Track referral relationships:

  • Who referred this contact
  • Contacts this person has referred
  • Referral dates and status

Vendor Only Tabs

Certificates Tab

Manage vendor compliance documents:

  • Upload insurance certificates
  • Track certificate expiration dates
  • Upload W-9 and other compliance documents
  • Get alerts for expiring certificates

Lead Time Tab

Track vendor lead times:

  • Standard lead times by product/service
  • Seasonal variations
  • Use for project scheduling

Special Alerts

Client Owned by Outside Firm

A red alert banner displays if the contact is marked as owned by an outside firm.

Client Concern Banners

Concern banners appear at the top of the contact page and on the related project page:

BannerMeaning
YellowAn open (unresolved) client concern exists
GreenA concern was resolved — the banner remains permanently visible

The green resolved banner stays visible indefinitely so staff reviewing the contact or project later can see there was a prior concern. It only disappears if the Show resolved banner option was unchecked when the concern was resolved.

QuickBooks Integration

If QuickBooks integration is enabled, a status indicator shows:

  • Sync status with QuickBooks
  • Last sync date
  • Any sync errors

Custom Fields

Your administrator can configure custom fields that appear in the General Info tab:

  • Text fields - Free-form text entry
  • Dropdown fields - Select from predefined options
  • Date fields - Date picker
  • Checkbox fields - Yes/no options
  • Multi-select fields - Choose multiple options
