Macro Schedule

The Macro Schedule provides a Gantt chart view of all active production projects, organized by production manager. Use it to visualize project timelines, identify scheduling conflicts, and plan resource allocation across multiple projects.

Accessing the Macro Schedule

Navigate to Calendar > Macro Schedule from the main navigation menu.

Understanding the Layout

The Macro Schedule displays as a Gantt chart with two main areas:

Left Panel (Grid)

Displays project information in a table format:

Project NameClient name and project name (clickable to open project)
Current StageThe project's current production stage
Start ProjectScheduled start date
End ProjectScheduled end date
DurationTotal project duration in weeks
+Add a new project row (appears on user rows)

Right Panel (Timeline)

Displays horizontal bars representing each project's timeline:

  • Bar length corresponds to project duration
  • Bar position shows start and end dates
  • Bar color is assigned per production manager for easy identification
  • Hover over a bar to see project details in a tooltip

Project Grouping

Projects are grouped by their assigned Production Manager:

  • Each production manager appears as a collapsible row
  • Their assigned projects appear as child rows below
  • Click the expand/collapse icon to show or hide projects under a manager
  • Projects are sorted by start date within each group

Timeline Navigation

Zoom Controls

Use the zoom buttons in the toolbar to adjust the time scale:

Zoom Levels

The Gantt chart supports multiple zoom levels:

  • Week - Shows daily breakdown within weeks
  • Month - Shows weekly breakdown within months (default)
  • Quarter - Shows monthly breakdown within quarters
  • Year - Shows quarterly/yearly overview

Tip: Hold Ctrl and scroll the mouse wheel to zoom in/out while hovering over the timeline.

Scrolling

  • Use the horizontal scrollbar to navigate through time
  • Use the vertical scrollbar to see more projects
  • The timeline automatically scrolls when clicking Today

Searching Projects

Use the search box in the toolbar to find specific projects:

  1. Type a project name or client name
  2. The chart filters to show only matching projects
  3. Parent rows (production managers) with matching projects remain visible
  4. Clear the search to show all projects again

Filtering Projects

Click the Filter button to open the filter dialog and narrow down which projects appear:

Available Filters

  • Production Manager - Show only projects for selected managers
  • Production Stage - Filter by current stage (e.g., Pre-construction, In Production)
  • Project Type - Filter by project type
  • Date Range - Show only projects within a specific timeframe

The filter badge shows how many filters are currently active.

Viewing Project Details

Tooltip

Hover over any project bar to see:

  • Equipment/cost code category (if applicable)
  • Project name with client
  • Start and end dates

Click to Edit

Double-click on any project row to open the edit form where you can:

  • Update project dates
  • Change the production manager
  • Modify other project details

Open Full Project

Click the project name link in the grid to open the full project record.

Adding Projects

To add a new project row to a production manager's schedule:

  1. Find the production manager's row
  2. Click the + button on the right side
  3. Fill in the project details in the form
  4. Save to add the project to the schedule

Full Screen Mode

Click the full screen icon in the top right corner of the toolbar to expand the Macro Schedule to fill your entire screen. Click again or press Esc to exit full screen mode.

Reading the Timeline

Weekend Highlighting

Saturdays and Sundays appear with a light gray background to distinguish them from weekdays.

Today Marker

After clicking the Today button, a vertical line appears marking the current date for reference.

Project Status Colors

Projects may be highlighted based on their status:

  • Standard background - Normal active project
  • Green-tinted background - Projects in "Open" status

Tips for Using the Macro Schedule

  • Plan ahead - Zoom out to see the big picture of upcoming months
  • Identify conflicts - Look for overlapping bars to spot resource conflicts
  • Track progress - Compare current stage with timeline position
  • Export if needed - Use the browser's print function for a static view
