Checklists
Track tasks and action items within activities using checklists.
Overview
Checklists help you track the specific tasks that need to be completed as part of an activity. Each checklist contains a list of items that can be checked off as they're completed, providing a clear view of progress.
Use checklists for:
- Meeting agendas - Track discussion topics and action items
- Process steps - Ensure all required steps are completed
- Follow-up tasks - Track items that need attention after an activity
- Quality control - Verify all criteria are met
Adding a Checklist to an Activity
Open an activity and add a checklist using one of two methods:
Blank Checklist
Create an empty checklist and add items manually:
- Open the activity
- Click Add Checklist
- Select Blank Checklist
- Enter a name for the checklist
- Start adding items
From Template
Use a pre-defined checklist template:
- Open the activity
- Click Add Checklist
- Select From Template
- Search or browse for the template
- Click the template name to add it
The checklist is created with all the template's pre-defined items.
If you frequently use the same checklist, ask your administrator to create a template. See Checklist Templates.
Managing Checklist Items
Adding Items
- Click in the "Add item" field at the bottom of the checklist
- Type the item text
- Press Enter to add the item
Checking Items Complete
Click the checkbox next to an item to mark it complete. Click again to uncheck it.
Editing Items
Click on the item text to edit it. Press Enter or click away to save.
Reordering Items
Drag and drop items to change their order:
- Hover over an item to see the drag handle
- Click and hold the handle
- Drag the item to its new position
- Release to drop
Deleting Items
Hover over an item and click the delete icon to remove it.
Checklist Progress
Each checklist shows a progress indicator (e.g., "3/5") displaying how many items are complete out of the total. This helps you quickly see the status of each checklist.
Editing Checklist Name
Click on the checklist name to edit it. This is useful when you want to customize a checklist that was created from a template.
Multiple Checklists
Activities can have multiple checklists. This is useful when you need to track different categories of tasks separately, such as:
- Pre-meeting preparation
- Meeting discussion items
- Post-meeting follow-ups
Using Activity Templates
When creating an activity from an Activity Template that has checklist templates attached, the checklists are created automatically. This saves time and ensures consistent processes across your team.
Best Practices
- Add checklists proactively - Create them before the activity rather than after
- Use templates for recurring processes - Templates ensure nothing is missed
- Check items as you go - Mark items complete immediately rather than at the end
- Add notes to items - Use descriptive text to clarify what needs to be done
- Review incomplete items - Before closing an activity, ensure all items are addressed
