Sending Quote Requests
Send quote requests to vendors via email.
Requirements for Sending
Before you can send a quote:
- A vendor must be selected
- A vendor email address must be entered
- At least one Reply To email must be selected
Sending a Quote
- Open a quote in Draft status
- Click Send Quote or Resend
- Review the send dialog:
Send To
The vendor email (and CC if specified) where the quote will be sent.
Reply To
Select team members whose email addresses should receive replies:
- Pre-populated with the requesting user's email
- Select multiple users if needed
- At least one reply-to email is required
- Click Send Quote
What Happens When Sent
When you send a quote:
- Email is sent to the vendor with quote details
- Status changes from Draft to Requested
- Sent Date is recorded
- Vendor receives a link to view the quote online
Vendor View
When vendors click the quote link, they see:
- Your company logo and contact information
- Quote number and due date
- Scope of work (if enabled)
- Line items (if Show Item Detail is enabled)
- Totals (if Show Totals is enabled)
- Attached files
Vendors cannot edit the quote online - they respond with their pricing via email or phone.
Resending a Quote
You can resend quotes at any time:
- Open the quote
- Click Resend
- Adjust reply-to emails if needed
- Click Send Quote
Resending does not change the status or create a new revision.
Quote Email Content
The email sent to vendors includes:
- Subject: "Quote Request from [Your Company Name]"
- Link to view the quote online
- Reply-to addresses for easy response
- Any attachments included on the quote
Permission Required
Sending quotes requires the Send PO permission. Users without this permission can create and edit quotes but cannot send them.
Shared Permission
The Send PO permission controls sending both purchase orders and vendor quotes.
Tracking Sent Quotes
After sending:
- The quote shows Requested status
- Sent Date displays when it was sent
- Monitor the Quotes list filtered by "Requested" status to track pending responses
