Client Portal Visibility

Control which schedules and information are visible to customers in the client portal.

Making a Schedule Client-Viewable

  1. Select the schedule from the dropdown
  2. Click Settings or Edit to open schedule settings
  3. Enable Client Viewable
  4. Save changes

The schedule will now appear in the customer's portal view.

What Customers See

When a schedule is marked as client-viewable, customers see:

  • Read-only Gantt chart - Visual timeline without editing capabilities
  • Task names and descriptions - What work is planned
  • Start and end dates - When tasks are scheduled
  • Progress indicators - How much is complete
  • Dependencies - How tasks relate to each other
  • Milestones - Key project dates

What Customers Don't See

For security and privacy, customers cannot see:

  • Schedules not marked as client viewable
  • Internal notes and comments
  • Resource assignments (team member names)
  • Cost or budget information
  • Edit or modification capabilities
  • Other customers' information

Best Practices

What to Share

  • Major project phases - Foundation, Framing, Finishing, etc.
  • Key milestones - Start date, substantial completion, final walkthrough
  • Inspection dates - When inspections are scheduled
  • Customer decision points - Selection deadlines, approval dates
  • Project completion targets - Expected finish date

What to Keep Internal

  • Detailed sub-tasks - Internal breakdown of work
  • Resource-specific assignments - Who is doing what
  • Internal deadlines - Buffer time, crew scheduling
  • Cost-related items - Labor hours, material ordering
  • Sensitive planning information - Contingency plans

Multiple Schedules Strategy

For complex projects, consider using multiple schedules:

SchedulePurposeClient Viewable
Client ScheduleHigh-level phases and milestonesYes
Production ScheduleDetailed internal tasksNo
Design ScheduleDesign phase detailsMaybe

This allows you to share a simplified view while maintaining detailed internal tracking.

Troubleshooting

Customer Can't See Schedule

  • Confirm Client Viewable is enabled in schedule settings
  • Verify the customer has portal access
  • Check that the customer is linked to the project
  • Review portal configuration settings

Too Much Detail Showing

Consider creating a separate "client schedule" with only the information you want to share, rather than exposing your detailed production schedule.
