Inbox

Stay on top of activity across your projects and contacts with a centralized notification inbox.

Overview

The inbox collects notifications about events that matter to you — @mentions in comments, new comments on items you watch, project assignments, contract events, and more. You control which notifications you receive and how they are delivered through your notification preferences.

Accessing Your Inbox

The Inbox item appears in the left navigation menu. A dot indicator appears when you have unread notifications. Click it to open your inbox.

Viewing Your Inbox

The inbox has two tabs:

  • Inbox — Active notifications that have not been archived
  • Archived — Notifications you have archived for reference

Each notification displays:

  • The avatar of the person who triggered it, with a small icon in the corner showing the notification type. Notifications with no person behind them show the type icon as the whole avatar.
  • The record it concerns, as a small grey line above the title — a project reads 9999999 - Kitchen Remodel. Notifications about something with no meaningful label omit this line.
  • The notification title (bold when unread)
  • A preview of the notification body
  • The time or date, right-aligned: 2:00 PM for today, Yesterday 2:00 PM for yesterday, and 7/30/26 10:04 PM for anything older

Unread rows are marked by a blue bar down the left edge and a lightly tinted background, so they form a scannable column.

Click a notification to mark it as read and navigate to the related record. For example, a comment mention on an estimate opens that estimate directly. Activity notifications open an activity details panel without leaving the inbox.

Project note notifications open a note panel, also without leaving the inbox. The panel shows the recent notes on that project as a single thread in date order, with the note you were notified about highlighted, and a reply box at the bottom — so you can respond without hunting for the note on the project. Your reply is posted as a new note on the project, which notifies everyone following it, including the note's author.

Managing Notifications

Single Notification Actions

Each notification has action buttons on the right side of the row:

  • Mark as read (checkmark icon) — Clears the unread indicator. Shown on unread notifications.
  • Mark as unread (envelope icon) — Restores the unread indicator. Shown on read notifications.
  • Archive (archive icon) — Moves the notification to the Archived tab. Shown on the Inbox tab.
  • Unarchive (unarchive icon) — Returns an archived notification to the Inbox tab. Shown on the Archived tab.

Bulk Actions

Select multiple notifications using the checkboxes on the left side of each row. A Select all checkbox at the top selects every notification on the current page.

When notifications are selected, a bulk action bar appears with:

  • Archive, Mark as read, and Mark as unread (on the Inbox tab)
  • Unarchive (on the Archived tab)

Mark All Read

On the Inbox tab, click Mark all read to clear the unread indicator on every notification in your inbox at once.

Following

You receive notifications for items you are following. You can follow projects, contacts, activities, and individual estimate lines.

What Following Does

ItemYou are notified when…
ProjectA new comment is posted, the project is won, a change order is approved, or a contract is signed or canceled
ContactA new comment is posted on the contact
ActivityA new note is added to the activity, or you are mentioned in a note

Manual Following

A follow button (bell icon) appears on project, contact, and activity detail pages. Click it to subscribe — the icon changes to an active bell to indicate you are following. Click again to unfollow and stop receiving notifications.

Estimate lines have no follow button; you start following one by commenting on it.

Hovering over the button shows a tooltip:

  • Not following — "Follow - Get notified of changes"
  • Following — "Unfollow - Stop receiving notifications"

When other users are following the same item, their avatars appear next to the follow button.

Automatic Following

You are automatically subscribed when you:

  • Post a comment on a project, contact, activity, or estimate line — even if the comment contains no mentions
  • Are @mentioned in a comment
  • Are assigned to an activity, either as its assigned user or as a member of its team. This includes assignments that arrive through a synced Outlook or Google calendar event.
  • Are assigned to a project through a Team Member field such as Project Manager or Sales Person, if that field has Auto-subscribe on assignment enabled

Automatic subscriptions work the same as manual ones — you can unfollow at any time using the follow button.

For administrators

Auto-subscribe on assignment is a per-field setting on Team Member project fields, edited alongside the field itself. It is on by default for both the built-in role fields and new Team Member fields. Turning it off silences the field completely — assignees do not start following the project and do not receive a Project Assignments notification. See Managing User Notifications.

@Mentions in Comments

Type @ followed by a name in any comment field to mention a team member. An autocomplete dropdown appears showing matching active users. Select a user with the arrow keys and press Enter or Tab to insert the mention.

When you mention someone:

  1. They receive a notification titled "[Your Name] mentioned you", above the record it happened on
  2. They are automatically subscribed so they see future comments
  3. The mention appears as a highlighted name in the comment text

Other followers also receive a separate "new comment" notification.

Click the gear icon in the top-right corner of the inbox to open your Notification Preferences, where you control which notification types you receive and how they are delivered.
