Managing Contract Templates

Required Permission
Manage Company Settings - You must have the Manage Company Settings permission to access this setting.

Keep your list of contract templates organized: find the right template, rename it, and remove the ones you no longer need.

The Templates List

Navigate to Settings > Projects > Contract Templates to see every template in your company.

ColumnDescription
Contract TypeThe template's internal name, with its custom type in parentheses where one is set
Contract TitleThe title the client sees at the top of contracts from this template

The list is sorted by contract title. Each row has an edit icon that opens the template, and a delete icon that is available only on custom templates.

Clicking either the name or the title opens the template.

Renaming a Template

The template name is the internal label in the list; the contract title is what the client sees. They are edited in different places:

  1. Open the template
  2. To change the internal name - click the template name in the header bar, edit it, and save
  3. To change the client-facing title - click the title in the contract preview, type the new title, and click away

Editing a Template

Content, sections, fields, and settings are all edited from the open template. See Editing a Template for the full walkthrough.

caution

Template changes apply to contracts created from that point on. Contracts that already exist are unaffected, which is what keeps signed contracts from changing under you.

Deleting a Template

What Can Be Deleted

Only custom templates can be deleted. The delete icon is disabled on the four built-in templates.

What Happens When You Delete

  • The template is removed from the list and can no longer be selected for new contracts
  • Existing contracts created from it are unaffected and continue to work normally

Deletion Process

  1. Navigate to Settings > Projects > Contract Templates
  2. Click the delete icon on the custom template's row
  3. Confirm the deletion

Permissions

Viewing and managing contract templates requires the Company Setup permission. Without it, the Contract Templates page is not shown in the Settings menu.

Organizing Templates

Naming Conventions

The template name is only seen by your team, so make it say when to use the template:

Good examples:

  • "Standard Project Proposal - Residential"
  • "Design Services Agreement - Commercial"
  • "Change Order - Standard Terms"

Avoid:

  • "Template 1"
  • "New template (2)"
  • "Copy of Standard"

Keeping Templates Current

Schedule periodic reviews of all templates:

Quarterly:

  • Verify contact information is current
  • Check for outdated references

Annually:

  • Review terms and conditions with legal counsel
  • Update insurance limits and license numbers
  • Verify compliance with current regulations

Testing Changes

Before relying on a new or updated template:

  1. Create a test contract
  2. Review formatting and layout in the client view
  3. Check that all sections appear as expected
  4. Verify the payment schedule displays correctly

Troubleshooting

Template Not in the List

  • Confirm you have the Manage Company Settings permission
  • Check whether the template was deleted — deleted templates are removed from the list

Changes Not Showing on a Contract

Template changes only affect contracts created after the change. A contract that already exists keeps the content it was created with; edit that contract directly instead.

Wrong Template Used

If a contract was created from the wrong template:

  • The contract's content can still be edited directly on the project
  • Consider deleting and recreating the contract if the differences are significant
  • Review your template naming to prevent the mix-up happening again
