Marketing Invoices

Marketing - You must have the Marketing permission to access this setting.

Track marketing spend and tie each cost back to the lead source it drove.

Overview

Marketing invoices record what you paid a vendor (Google Ads, a radio station, a printer, a home show organizer) and allocate the spend across lead sources and optionally divisions. Cost per lead and cost per win are then calculated on the Lead Cost Report.

Marketing invoices are separate from project (client) invoicing. These are bills you paid to marketing vendors — not invoices you sent to clients.

Accessing This Setting

  1. Go to Settings > Marketing > Marketing Invoices

Creating a Marketing Invoice

Click Add New and fill out:

  • Name (required) — A short identifier you'll recognize later, e.g. "Google Ads — March 2026" or "Parade of Homes Sponsorship".
  • Invoice Date (required) — The date on the vendor's invoice.
  • Vendor Invoice # (optional) — The vendor's own invoice number if you want to record it.
  • Notes (optional) — Any internal notes.

Line Items

Each invoice has one or more line items. Each line item ties a portion of the invoice to a specific lead source.

Click Add Line Item to add more rows. A single invoice can allocate spend across many sources and divisions — for example, a digital marketing agency's monthly invoice might be split into line items for "Google Search / Remodeling", "Facebook / New Construction", and "Display / Both".

Finding and Filtering Invoices

The invoice list shows one row per invoice with the following columns: Name, Invoice Date, Vendor Invoice #, and Total Cost. Rows are paginated (25 per page) and sortable by clicking any column header.

Click Filters to open the filter drawer. You can narrow the list by:

  • Name — matches any part of the invoice name.
  • Vendor Invoice # — matches any part of the vendor invoice number.
  • Invoice Date From / To — restricts to invoices whose date falls in this range.
  • Source — restricts to invoices with at least one line item tied to this source.

A green badge on the Filters button shows how many filters are currently active. Use Clear All to reset them.

Editing and Deleting

Click the invoice name (or the pencil icon) on any row to edit. The delete button is inside the edit dialog — removed invoices cascade-delete their line items.

How Costs Flow Into Reports

The Lead Cost Report aggregates line items:

  • By source when you view leaf-level rows
  • By parent category when categories exist and you group by category
  • By division when you filter the report by division

Line items tagged with a specific division appear only when the report is filtered to that division; untagged line items do not appear in division-filtered rollups.
