Email Log

See every email Readybuild sent on your behalf and what actually happened to it.

Overview​

When a client says they never received a contract, the Email Log tells you whether it was sent, whether their mail server accepted it, and — if it failed — exactly what their mail server said. It tracks:

  • Every outbound email - contract signature requests, selection shares, client portal login links, automated activity emails and more
  • Real delivery outcomes - delivered, bounced, blocked, marked as spam, opened, clicked
  • The reason for a failure - including the verbatim response from the recipient's mail server
  • Undeliverable addresses - addresses that are blocked before sending, and why

Accessing the Email Log​

  1. Go to Settings > My Company > Email Log

Delivery Statuses​

StatusWhat it means
QueuedWaiting to be sent.
SentHanded to the email service. No delivery confirmation yet.
DeliveredThe recipient's mail server accepted it. It may still be sitting in a quarantine or filtered folder — see the note below.
DelayedThe recipient's mail server asked us to try again later. Delivery is still in progress.
BouncedPermanently undeliverable. The address does not exist, or the domain rejects it.
Temporarily failedDelivery failed for a temporary reason, such as a full mailbox, and was given up on.
BlockedThe email service refused to send it, almost always because the address bounced before.
Marked as spamThe recipient reported it as spam.
UnsubscribedThe recipient unsubscribed. No further email will be sent to this address.
OpenedThe recipient opened the email.
ClickedThe recipient clicked a link in the email.
Delivered does not always mean read

Delivered means the recipient's mail server accepted the message. Some corporate mail systems then move it to a held queue, a quarantine folder or junk, and some can even remove it from an inbox hours later. None of that is reported back, so a Delivered email can still be invisible to the person it was sent to.

If a client insists they never saw a delivered email, ask them to check their junk and quarantine folders, and ask their IT provider to look for it in any held or filtered queue.

Viewing a Delivery Timeline​

Click the information icon on any row to open its full history.

The timeline lists every delivery event in order, with:

  • Status and time - each step the email went through
  • Reason - a short explanation when something failed
  • Response from the receiving mail server - the exact text the recipient's mail server returned

That last field is the one to quote when you contact a client's IT provider. It usually names the precise problem, such as a misspelled address or a policy that blocked the message.

Undeliverable Addresses​

When an address bounces permanently, the email service blocks all future email to it. This prevents repeated failures from damaging your sending reputation, but it also means messages to that address stop arriving with no error shown anywhere else.

The Undeliverable addresses tab lists every blocked address for your company, with the reason and the mail server's response. Blocked addresses also show an Undeliverable badge on the contact record.

Removing a Block​

  1. Open the Undeliverable addresses tab, or the contact record
  2. Check the address is actually correct, and fix it first if it is not
  3. Click Remove, then confirm

Removing a block makes Readybuild try the address again. If it is still wrong it will bounce a second time, and repeated bounces make mail providers trust all of your email less — including email to clients whose addresses are fine.

Common Use Cases​

  • "My client never got the contract" - search the recipient address, open the timeline, and read the receiving mail server's response
  • A client has gone quiet - check whether their address is on the Undeliverable list and has been silently blocked
  • Confirming a send - check whether a signature request went out, and when
