Track scheduled and completed activities across your company — appointments, calls, emails, and tasks — work through them, and jump straight to the activity or its project.

Columns

Activities that are past their end date and still open are shown in red.

Views

The Activity View dropdown at the start of the filter row holds a set of named views. Pick one and the page filters itself — this is the normal way to use the page.

Hover a view in the list to see a one-line description of what it shows.

The view you pick is remembered, so the page opens the same way next time. My Open Activities is the starting point for anyone who hasn't chosen one yet. If you change one of the filters the view controls, the dropdown reads Custom — pick a view again to snap back.

A link that carries its own filters — the header shortcuts, or a filtered link a colleague sends you — always shows what it says rather than your remembered view.

Adjusting a view

The controls beside the view dropdown let you refine whatever is on screen.

Changing any of these means you've moved away from the named view, so Activity View reads Custom. Pick a view again to snap back.

Quick filters

Below that is a row of filter chips — Activity Category, Activity Sub-Category, and Activity Type to start with. Click a chip to set a value and the list narrows immediately. The × on a chip clears its value while leaving the chip in place.

Use + to add a chip for any other field, and Remove from bar inside a chip to take one away. Which chips you keep on the bar is saved to your account; the values you put in them are not, so they're handy for a one-off look without disturbing your saved view.

Chips narrow whichever view is active rather than replacing it, so the view stays selected while you use them.

Advanced filters

Click Advanced Filters to open the filter drawer, which holds the same filter builder used on the Projects and Contracts lists.

Add a filter by picking a field, an operator, and a value. The Match dropdown decides whether an activity has to satisfy every filter (AND) or any one of them (OR). Click Apply to run them, or Clear to remove them all. The badge on the Advanced Filters button counts how many are active.

You can filter on:

  • Activity fields — subject, location, start and end dates, category, sub-category, activity type, result, assigned to, created by, created date, client attending, contacted client
  • Activity Team Member — activities a given user is on the team for
  • Assignee Department — the department the assigned user belongs to
  • Project fields — anything on the activity's project, including the consultant (salesperson), project manager, stage, and project type
  • Client and house fields — reached through the activity's project

Custom fields your company has added to activities, projects, or contacts appear in the list alongside the built-in ones.

Operators vary by field type: text fields offer contains and is known, dates offer between, and dropdowns offer is any of and is none of.

Sharing a filtered view

Your view, filters and sort are all stored in the page address, so you can bookmark a particular view or paste the link to a colleague and they will see the same thing.

Sorting and paging

Click any column header to sort by that column. Click again to reverse the direction. It sorts by Date/Time, oldest first, unless you change it. Sorting applies to every matching activity, not just the page you are looking at.

Results are shown 50 at a time, with the usual page controls below the table showing which rows you are viewing and how many matched in total. Changing a filter or the sort takes you back to the first page.

Opening an activity

Click anywhere on a row to open the activity panel, where you can view details, change the result, add notes, and reschedule. Clicking the Project ID link opens the project instead.

Completing activities

Set Activity Status to Open and a Mark Complete column appears. Ticking the box marks that activity complete and drops it from the list.

Exporting

Click Export CSV to download the list. The export respects your active filters and current sort order, and includes every matching activity — not just the page on screen — up to 5,000 rows. If your filters match more than that, the export tells you how many were included.

Common Use Cases

Daily activity review

Pick the My Activities Today view and work down the list.

Overdue activity tracking

Pick the My Overdue Activities view, or use the Overdue Activities shortcut in the header. To sweep the whole company's past-due work, pick Everyone's Overdue Activities.

Team performance analysis

Start from Everyone's Activities, Any Status, set the range to last month, set Activity Status to Completed, and add an Assigned To chip for the person you're reviewing.

Department workload review

Start from Everyone's Open Activities and add an advanced filter on Assignee Department to see how work is distributed.

Consultant follow-up tracking

Start from Everyone's Open Activities and add an advanced filter on the project's Consultant to confirm client follow-ups are on the calendar.
